Your Travel Partner

Sri Lankan Explorer Tours is a Sri Lankan travel company, which is registered in Sri Lanka, it is the official body for Sri Lanka tourism. The planning, execution, and organization of tours are carried out by “Sri Lankan Explorer Tours”, on behalf of guests and other travel partners. The phrase “Sri Lankan Explorer” in these Booking Terms and Conditions refers to Sri Lankan Explorer Tours.

Confirmation of Booking

Upon receipt of the applicable deposit by Sri Lankan Explorer Tours, a written confirmation will be issued, confirming your reservation and there is a contract. Please, check your confirmation carefully, and report any inaccurate or incomplete information to the Tour Operator immediately. Please ensure the names are as indicated in the relevant passport.

Conditions related to payments.

a) On all bookings, including holidays prepared, 50% of your reservation is confirmed by an advance.

b) A confirmation invoice and travel voucher will be sent when all bookings have been made with full payment due 7 days before arrival.

c) Initial payment is required at the reservation.

d) In a bank transfer, the client must pay all bank / PayPal fees.

e) No additional postage, booking fees or other hidden fees. Exchange rate bookings are based on the Central Bank of Sri Lanka and are not subject to change.

Cancellations

We are not responsible for any incidental cancellations during the booking arrange

Customer Care and Complaints Procedure

Sri Lankan Explorer is committed to providing high-quality customer care at every stage of your holiday. This includes all problems in the source for the benefit of all parties. Complaints should be lodged with the Service Provider (eg. Hotel Manager), our agents and agents soon. If the matter is not resolved, you must notify Sri Lankan Explorer by email within 24 hours as an attempt to correct the situation peacefully. It is your responsibility to provide you with the appropriate contact numbers before you travel to Sri Lanka. If we fail to comply with this Settlement, we reserve the right to refuse any liability or compensation.

Check List for Essentials

Check your flight times after receiving tickets. After issuing our travel voucher, the airline may make adjustments on the flight times. We don’t undertake the responsibility for those. It is your sole responsibility to inform us about changes made during your flight hours. You must make that your travel documents, passports, visas, driving licenses, insurance information, and money are in order.

Special Requests

We must advise you on any special request when making reservations such as Food, room location, room type, ie double/double, a hotel’s specialty. Namely, the swimming pool, the gym, etc. Your request must be confirmed by email. We make every effort to try and organize your reasonable special requests, and we cannot guarantee that they will be met. A special request is recorded in your confirmation travel document or other document or it is not a confirmation that the request has been delivered to the supplier. Failure to comply with any request does not constitute a breach of contract on our part and we do not accept conditional reservations when a special request is made.

Insurance

Every resort must have valid travel insurance without exception, and the details of your insurance policy must be mentioned before the trip. Individuals must ensure that travel insurance provides acceptable coverage for the holidays.

Required Medical Information

It is your responsibility to assess whether a trip suits you. You should consult your physician to ensure your fitness for travel and participation in planned activities. You should consult your doctor about vaccinations and medical precautions. Travel Operator does not provide medical advice. It is your responsibility to assess the risks and needs of every aspect of travel based on your unique circumstances, limitations, fitness levels, and medical needs.

Age & Fitness

We want to make sure you or anyone at your reservation party is enjoying the vacation to the fullest, so clients who meet the following criteria should complete our travel eligibility form to determine if a travel or customized travel description is appropriate. Where necessary, participation requirements, improvements or conditions may apply, or we may grant leave on a personal basis (additional applicable).

A) Anyone with Pre-existing medical conditions. Anyone who needs treatments by a doctor or a person with medical or other conditions should be informed. If you feel that you need to provide us with additional information, please inform the relevant Travel Adviser.

B) All persons 70 years of age or older on the date of commencement of the tour. You can request further information or a signed letter from your doctor confirming that you can make your chosen trip.

C) Pregnancy is considered a medical condition and should be disclosed to the travel operator at the time of booking. Travel operators may refuse to carry pregnant women over 24 weeks. If reasonable accommodations or alternatives are not available, the travel operator may refuse to take anyone with certain medical conditions.

Breach of Contract and Negligence

Concerning the arrangements that are part of your resort, we will accept responsibility for events which occur as a direct result of our proven negligence or our suppliers when we organize our resorts and transfers. This will apply to illness, injury and/or death

Personal Loss, Injury and Illness

If a member of your team suffers a serious illness, personal injury, or death during your holiday (such as luggage or valuables), we or our publishing agents will provide sympathetic advice and guidance. This should be done in conjunction with your travel insurance policy.

Guarantee of Price

We guarantee that Your holidays will not be subjected to surcharges except where our cost increases due to changes in government policy. We do not charge surcharges for exchange rate fluctuations.

Accommodation

Sri Lankan Explorer Tours guarantees agreed accommodation for the tour package selected by the Client. Clients are provided with detailed information beforehand on selected hotels based on their package. Clients are requested to thoroughly research the selected hotels before confirming a booking. Once a booking has been confirmed, we will make reservations at hotels and these cannot be changed under any circumstance before or after the guest arrives in Sri Lanka. If however, the guest insists on changing a hotel booking, Sri Lankan Explorer Tours will try our best to arrange another hotel in the selected category; but that cost incurred will have to be undertaken by guests themselves.

Shopping

Sri Lankan Explorer will never recommend or guarantee the value or quality of any additional products not explicitly listed on the travel voucher and may be purchased in a partial or fully organized travel document by Sri Lankan Explorer Tours. The product may have been negotiated between a client and an employee or a representative of Sri Lankan Explorer Tours. It is the client’s responsibility to determine the value of the product. Sri Lankan explorer has no obligation to intervene in such situations.

Sri Lankan Explorer is not responsible for the quality, functionality, guarantee or warranty of any items you may purchase during your visit.

Confirmation of Booking

Your booking is confirmed and a contract exists when the Sri Lankan Explorer Tours issues a written confirmation after receipt of the applicable deposit amount. Please check your confirmation carefully and report any incorrect or incomplete information to the Tour Operator immediately. Please ensure that names are exactly as stated in the relevant passport.

In the case of all bookings, including tailor-made holidays, your booking will be confirmed by 50% upfront advance. A Confirmation Invoice and Travel Voucher will be sent when all reservations have been made with full payment to be paid 7 days before arrival. The payment of deposit confirms that you accept our booking conditions.

b) The Client must pay all Bank/PayPal charges in the case of a bank transfer.

c) There will be no additional postage fees, booking fees or other hidden charges. Exchange rates are based on the Central Bank of Sri Lanka at the time of booking and are not subject to change.

Cancellations

a) Cancellation by Sri Lankan Explorer Tours

Sri Lankan Explorer is committed to high levels of professionalism to protect your booking. But we reserve the right to cancel your booking in any incidence of Force Majeure (see clause below). In this event, we will return all the money paid by you and, wherever possible, offer an alternative booking of comparable type and quality for your consideration. We cannot be held liable for any incidental expenses that you may incur during arrangements for a booking that is subsequently canceled by us.

b) Cancellation by Client (You)

You may cancel your booking by notifying the Tour Consultant. Cancellation fees, if any, will be determined regarding the date on which notice of cancellation is received by the Tour Consultant and are expressed as a percentage of the total price paid for the canceled Tour.

a) If Cancellation received 60 days or more before arrival in relevant booking: 100% of the payments made to the Tour Consultant in respect of the canceled tour will be refunded.

b) If Cancellation received between 30-59 days before arrival in relevant booking: an amount equal to 50% of payments made to the Tour Consultant in respect of the canceled Tour will be refunded…

c) If Cancellation received 30 days or less before arrival in relevant bookings are non – refundable.

d) Other cancellation refunds are determined on a case-by-case basis, whether provided directly or indirectly by us. We do not normally refund for early checkouts or no-shows.

Any individual who intends to cancel a booking with Sri Lankan Explorer must immediately notify their respective Tour Consultant by email, quoting their Invoice number. In the event of a group cancellation (by the tour leader), we will hold each individual equally liable for cancellation costs.
